DIVISION INVENTORY COMMITTEE AND SCHEDLE / CALENDAR OF ACTIVITIES FOR THE CONDUCT OF PHYSICAL COUNT FOR ONE-TIME CLEANSING

  1. This is to inform all the concerned about the conduct of a Division-Wide Physical Count of Property, Plant, and Equipment (PPE) as part of the One-Time Cleansing of PPE Account Balances and in the determination of PPE accounts to be established and maintained in the Project Asset360 System.
  2. Constitution of the Division Inventory Committee for One-Time Cleansing. 
  • Attached as Annex is the list of members of the Division Inventory Committee, as well as designated Counters, Checkers, Validators, and Taggers, composed of selected Accountable Officers (AOs), School Bookkeepers, and Division Office personnel.
    • To ensure continuous conduct of the physical count, the following provisions shall apply:
      • Designated AOs and Bookkeepers from Schools within the Districts.
        • Shall be temporarily relieved from their regular duties only on the scheduled date of the actual count within their respective Districts as indicated in the calendar of activities.
          • Designated Counters, Checkers, Validators and Taggers.
            • All designated members Division Inventory Committee as counters, checkers, validators and taggers shall be relieved of their usual duties for the entire duration of the three-month physical count.
      • The relieved personnel are expected to focus solely on the assigned physical count duties and deliver timely, accurate, and validated reports.

3. INDICATIVE SCHEDULE OF ACTIVITIES AND PHYSICAL COUNT

The Indicative Schedule of Activities and Physical Count is attached as Annex. It outlines the timelines for:

  • Orientation and briefing of teams
  • Conduct of the physical count
  • Submission and reconciliation of reports
  • Consolidation, Reconciliation, Adjustment and final reporting

All schools and concerned offices are directed to provide full support during the conduct of the activity. This includes ensuring the availability of accountable personnel, records, and access to inventory items.
